ADMINISTRATOR POSITION – JUNE 2018


Who we seek

Our inclusive, progressive Christian community is looking for a superstar to report to the Lead Minister and manage the church’s non-ministry functions. The Administrator is the nexus for staff, ministers, congregants, and the public –  the go-to person, anticipator, initiator, doer, detail-watcher, and systematiser who keeps all background functions running smoothly.

We seek an organized, flexible, grounded, collegial, hands-on Administrator to work alongside the Rentals Coordinator in an open office environment. The Administrator oversees office and building operations, leads staff, creates and coordinates weekly print and multimedia communications, and supports members of the ministry team and congregation.

Responsibilities

Office administration & facilities management

  • Maintain and manage Office admin systems, data bases, records and equipment (e.g., files, computers), outsourcing to IT professionals as necessary
  • Plan, administer and control the Operations budget in consultation with the Lead Minister and others as appropriate
  • Manage contracts and vendor relationships: oversee, coordinate and renew long- and short-term contracts
  • Manage office supplies
  • Prepare, or oversee preparation of, reports and statistics related to the operation of CMUC & Centre for Peace

Staff leadership & supervision

  • Provide supervision to staff: two office staff (f/t Rental Coordinator, p/t Bookkeeper) and two custodial staff (p/t Facility & Maintenance Worker, occasional Custodian)
  • Conduct annual performance reviews for staff they supervise
  • Lead by evoking the best in staff, supporting their work and encouraging the development of their skills
  • Provide orientation and training to new staff to ensure they meet the needs of CMUC & CFP operations and provide good service to the public, mission partners and CMUC faith community with whom they interact

Communications coordination for worship services

  • Coordinate print communications for weekly services, meeting deadlines; i.e., solicit and format content, edit and proofread the worship service bulletin and order of service, coordinate their printing and assembling.
  • Coordinate verbal announcements at weekly services
  • Create, in consultation with the ministry team, the multimedia presentation for the worship service
  • Coordinate media computer operators for worship services; liaise with technical staff as needed

Support to the ministry team, to congregants and lay leaders

  • Provide administrative support as needed to the Ministry Team
  • Provide support to congregants, lay leaders and to CMUC’s programming in general
  • Provide confidential assistance to the Lead Minister, as required
  • Attend weekly staff meetings

Knowledge & experience

  • Several years’ continuous employment in an administrative/operations/office management role, preferably in the non-profit sector
  • A proven track record of effecting continuous organizational improvement
  • Excellent computing skills, familiarity with presentation software, proficiency in MS Office Suite on an up-to-date Windows operating system; comfort with learning new in-house software as required
  • Familiarity with standard accounting practices, proficiency in bookkeeping
  • Experience in public relations and marketing as related to the promotion of facilities, an asset
  • Requirement to apply for and provide a Police Information Check on acceptance of the position

 Compensation

  • 35-hour position at a competitive salary with some flexibility in hours
  • A 3-month probationary period
  • After probation, entitlement to comprehensive benefits under the United Church of Canada’s group plan (life, disability, health & dental, pension), which are mandatory for all permanent employees
  • 3 weeks’ vacation
  • A professional development allowance (up to $750 & up to 5 days) in 2019 and subsequent years
